  • Refunds

There are no refunds allowed for any reason including race cancellation. Entry fees are non-transferable between individuals or to future races. In some instances, Crosscut may offer a voucher for a free race entry to a Crosscut event to be used within one year.

    Cancellation

If Crosscut or the event organizing committee determines that an event cannot be held as scheduled, our first priority will be to select a makeup date later in the season. If no suitable date is available, or conditions prevent rescheduling, the event may be cancelled for the season.

    Inclement Weather

At any air temperature, difficult weather, or environmental conditions—including but not limited to strong winds, extreme heat, poor air quality, lightning, heavy rain, or other severe weather—may result in Crosscut and/or the race committee considering the postponement or cancellation of an event in the interest of participant, volunteer, and staff safety.

    Summer Weather Considerations‍ ‍
In determining event modifications or cancellation during hot and/or smoky weather, the following variables must be considered

    • Air temperature (recorded from the CMSC weather station), including: Time of highest/lowest temperature and Temperature trend throughout the day

    • Wind speed and wind gusts

    • Rain amount and forecast

    • Thunderstorm and lightning forecast

    • Air quality measurements and forecast (AIQ)

    • Trail conditions

    • Age of participants

    Decision Making ‍ ‍
The decision to cancel or postpone a competition is typically made by the organizing committee in consultation with Crosscut staff and medical staff. This decision considers current and forecasted weather conditions.

Crosscut reserves the right to make a final determination on cancellation.

Heat Index Thresholds for Modification and Cancellation
Crosscut uses modified National Interscholastic Cycling League guidelines for heat index.

    Heat Index 85-95°F (29-34°C):

    • Race proceeds as planned.

    • Race organizers communicate to racers the importance of staying well hydrated and increasing their hydration in hot conditions.

    Heat Index 95-99°F (35-37°C):

    • Race may be modified.

    • A two-hour maximum race duration is enforced.

    • Length of races may be shortened.

    • At the discretion of race organizers and the committee, a minimum racing age of 14 may be enforced.

    • Race organizers communicate to racers the importance of staying well hydrated and increasing their hydration due to warm conditions.

    Heat Index 100-104°F (38-40°C):

    • Race modified.

    • A one-hour maximum race duration may be enforced.

    • Length of races may be shortened.

    • A minimum racing age of 14 may be enforced.

    • Race organizers communicate to racers the importance of staying well hydrated and increasing their hydration due to warm conditions.

    Heat Index above 105°F (40.5°F):

    • Races may be postponed or cancelled.

    Cold Temperature Guidelines‍ ‍
If the temperature is below 40°F, the race committee may elect to modify, postpone, or cancel the event. As always, wind chill and precipitation forecasts and conditions are considered in decision-making.

Air Quality Thresholds for Race Modification or Cancellation
Crosscut follows the Montana Interscholastic Cycling League guidelines for cancelling due to poor air quality.

    • Green and Yellow Ari Quality Index (0-100): Races proceed as planned with no changes

    • Orange AQI (101-150): Length of races may be shortened to 45 minutes or less

    • Red AQI (150 +): Races postponed or canceled

    • Event participants with asthma or other medical conditions follow the advice of their health care provider

Lightning Activity for Race Modification or Cancellation
Crosscut follows the National Interscholastic Cycling League guidelines for lightning and thunderstorms.

All racing will stop immediately in the presence of lightning and thunder. Course marshals will direct racers off course where they can seek shelter in vehicles, trailers/RVs, or buildings. Shelter includes: a solid-walled building (not a tent or canopy), an RV or trailer with doors and windows closed, or a vehicle with doors and windows closed.

    • If a possible thunderstorm is forecasted in the area (but nothing is showing yet) then the marshal at the furthest marshal point on the course (and all other marshals) should be on alert for lightning and thunder.

    • If lightning occurs, any marshal or race official may call a stop to racing and broadcast this to all course marshals via radio.

    • Once lightning has been reported and the race cancelled, the furthest course marshal (and all marshals with higher marshal points) should begin walking/riding along the course toward the finish (sweeping the course) and instructing anyone they come across (racers/spectators) to leave the course and seek shelter.

    • While the course is being cleared, PA announcements should be made to seek shelter.

    • If the threat passes, the race staff (Race Director, Chief of Competition, Chief Course Marshal, etc.) should meet briefly to determine if there is time to stage and run the race, possibly in an abbreviated format.
